Who Is Responsible

KVETKI is the controller of personal information collected through kvetki.uk. The contact address is Wilcox Road, SW8 2XA. For privacy questions or rights requests, email info@kvetki.uk.

Information We Collect

When you submit an order request or contact KVETKI, we may collect:

• your name, email address and phone number;
• recipient name, delivery address, postcode and delivery instructions;
• bouquet preferences, gift-card message and order notes;
• messages you send to us;
• reference photographs or files you choose to upload;
• payment status, Stripe transaction and invoice references, but not full card details; and
• limited technical and security logs, such as request time and error information.

How We Use Information

We use personal information to process payment, make and deliver or hand over bouquets, send receipts and order updates, answer questions, prevent misuse, resolve problems, keep accurate accounts and meet legal or tax obligations.

Information You Must Provide

To place an order, the required information is the buyer's name, email address and phone number; recipient name and phone number; fulfilment choice and date; and, for delivery, the complete delivery address and postcode. Payment cannot be completed without the required details. Gift messages, bouquet notes and reference images are optional unless we tell you they are needed to fulfil a particular custom request.

Lawful Basis

We process buyer and order information because it is needed to take steps at your request and perform the sales contract. We use necessary security, customer-service and operational records for our legitimate interests in running a safe and reliable business. We keep accounting information where required by law. If you provide recipient details, we use them only as reasonably necessary to fulfil the order.

Recipient Information

The buyer supplies the recipient's name, phone number, delivery address and any access instructions. The buyer should make sure they are entitled to provide this information. We use recipient information only to prepare, coordinate and complete the order, handle delivery issues and meet related legal obligations. Who We Share Information With

We share only what is reasonably needed with service providers, including Stripe for payments and invoices, Gophr or another selected courier for delivery, IONOS for hosting and business email, and Telegram for limited private owner order and payment alerts. We may also share information with accountants, professional advisers, insurers or public authorities where necessary. We do not sell personal information.

Payment card information is entered on Stripe's hosted checkout and is not stored on the KVETKI website. Courier and payment providers process information under their own privacy notices as well as their agreements with KVETKI.

How Long We Keep Information

Order and accounting records are normally kept for up to 6 years after the relevant financial year to support tax, accounting and legal obligations. Uploaded reference files are normally removed within 12 months after completion unless they are needed for an active complaint or legal issue. Failed checkout records and routine technical logs are normally removed within 90 days unless they are needed to investigate security, payment or technical problems.

Telegram alerts contain a limited order summary and link to the protected dashboard. KVETKI keeps them in the private owner chat only while they are useful for order handling and reconciliation and reviews them for deletion after the order is complete. Telegram may retain provider records under its own privacy terms. Stripe, couriers, hosting and email providers keep their own records for the periods described in their policies and legal obligations.

Cookies And Device Storage

The public shop uses local browser storage to remember the cart, temporary browser storage for order reference files until checkout, and local storage to remember your analytics choice. These functions are necessary to provide the shop or remember the preference you requested.

With your consent, we use Google Analytics to understand visits, page use, device and browser type, and broad geographic information. We do not intentionally send customer names, contact details, delivery addresses, order references, gift messages or uploaded files to Google Analytics. Google Analytics is not loaded until you select Accept analytics. You can decline without affecting ordering and can change your choice at any time through the Cookie preferences link in the footer.

Google may set analytics cookies after consent and process analytics information under its own privacy policy. The owner dashboard uses a strictly necessary security cookie for login. Stripe may use necessary technology on its hosted payment page for security, fraud prevention and payment processing.

International Processing

Some service providers may process information outside the United Kingdom. Depending on the provider and destination, transfers are protected by UK adequacy regulations or appropriate safeguards such as the UK International Data Transfer Agreement or the UK Addendum to approved contractual clauses. Security

We use access controls, encrypted connections, restricted private storage and payment-provider security measures. No internet service can be guaranteed completely secure, so we also keep recovery records and review unusual errors.

Your Rights

Depending on the circumstances, you may ask to access, correct, delete, restrict or object to the use of your information, or receive information in a portable format. Some records cannot be deleted immediately where they are needed for legal obligations or legal claims. You may complain to the UK Information Commissioner's Office at ico.org.uk.

Changes

This notice may be updated as KVETKI develops its website, ordering process, payment options or delivery providers.
